Please ensure you read and fully understand these booking terms and conditions before your stay with us. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.
All bookings at Great Alder House are subject to agreeing the following terms and conditions:
- The contract binds you (the lead booker) & all the members of the party who are part of the booking. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.
- We require the names, ages, and contact details of all guests before arrival date
- A damage deposit of £500 is required payable by Paypal which will be refunded within 7 days of departure this only applies to guests booking directly. Tour Operators and other platforms have other methods of dealing with a damage deposit.
- When booking directly the balance must be paid no later than sixty days before the commencement of your holiday. If the balance is not received by the due date, then your holiday will be treated as a cancellation and will go back on sale.
- All cancellations must be notified in writing and once received we will confirm the cancellation.
- The customer remains liable for a percentage of the booking cost when a cancellation is received, as detailed below:

- We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.
- If your booking is cancelled by us, due to circumstances beyond our control, notification will be given of the cancellation as soon as possible and we will promptly refund all payments made to us for your holiday. Our liability for cancellation will be limited to payments made to us.
- If our property must close due to government restrictions or your address is put into local/regional lockdown for your holiday dates and you are unable to travel, you will be refunded in full.
- The maximum number of persons occupying the property must not exceed (14 persons) and only those agreed at time of booking form can occupy the property. If you wish to invite additional visitors to visit you during your stay, please ask us first.
- Please be advised that no extra overnight visitors are allowed to stay at the property.
- Bookings cannot be accepted from persons under 21 years of age.
- We reserve the right to refuse a booking without giving any reason.
- We or our representatives reserve the right to enter the property at any time to undertake essential maintenance, repairs or for inspection purposes, we will advise you if we need to do this during your stay.
- Tenancies commence at 17.00 on the arrival date and guests are required to leave the rental by 11.00 on the day of departure. Failure to do so may result in you being charged a further day’s rental.
- You must not use the property except for the purpose of a holiday.
- Smoking is not allowed in the property and can trigger the fire alarm system.Vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to, and any damage or extra cleaning caused will be at your expense.
- Alarm system
A satellite alarm system is in place at Great Alder House for your safety this ensures that if a fire breaks out in one part of the building the alarm will sound in all parts of the building.
The smoke alarms, heat detectors and carbon monoxide detectors should not be tampered with or touched.
Ensure the red fire alarm units are not touched or tampered with and ensure children are made aware of this.
Smoking or vaping is not allowed anywhere in the building and will trigger the alarm system please smoke or vape outside only. ( Metal Bin is provided for cigarettes, ash and Barb-BQ coals)
If the alarm goes off you should immediately leave the building and ensure that all members of your group have also left the building.
In the event of a false alarm, the system will need to be reset and can incur a call out charge to an engineer, if the event has been triggered by smoking or vaping the call out charge will be your responsibility.
It is your responsibility to advise us in advance of arrival if any of your party are deaf or hard of hearing and would not hear the alarm.
Fires
Great Alder House has 2 log burners and an outdoor fire, all logs for the fire are provided in the rental agreement as they are seasoned wood.We cannot take any responsibility for guests who do not follow these guidelines.
- Do not not burn anything other than logs on the fire as this is damaging to the flue and also the environment.
- The door on the log burner should be kept closed at all times, leaving the door open is dangerous as logs can fall out as the fire burns. It is the lead booker's responsibility to ensure all members of the party are aware of the agreements around using the fires.
- Be cautious when opening the log burner to add extra logs and always use the safety gloves provided.
- We provide fire guards for both fires please ensure you use these.
- Ensure that young children and toddlers are not left without an adult in a room with a log burner.
- Keep matches and firelighters away from children.
- When the log burner is ignited and making a red flame please close the air vent ( a handle underneath the door) which will make the log burner burn warmer and more efficiently.
- You can leave the room when the log burner is still lit but do ensure the door is fully closed before retiring for the evening.
- The chimneys are swept annually for your safety.
- Carbon Monoxide and Heat Detectors are installed for your safety; these should not be touched or tampered with.
The windows and shutters at Great Alder House are original since 1799 and are why the building is listed please be gentle with them
- Blocks have been installed to prevent full opening as full opening can be dangerous. Do not attempt to remove these blocks to fully open the window.
- Do not leave young children alone on 1st or 2nd floor when the windows are open.
- For optimum breeze leave the top and bottom of the window open slightly.
- Birds, bats and other insects can enter the property - please be aware if leaving windows open.
- The windows have a twisting mechanism to shut them down which is important when we have high winds.
Staircase
The staircase is original to the property please be kind to it.
Under no circumstance slide down the staircase and ensure children are aware of this as it is very dangerous.
Ensure young children are supervised on the stairs at all times- Stairgates are provided for safety and use these.
Pets
- You must tell us the breed of dog at the time of booking.
- We only allow 2 dogs maximum, no other kinds of pets.
- -Dogs must be booked in and the cost is £35 per dog.
Please don’t let dogs on the furniture - Dogs are not permitted upstairs
Guests are responsible for cleaning up after their pets. - Guests should ensure their dogs are free of pests and parasites before travelling.
Please clean muddy dogs using the outside tap and the dog towels provided.
Dogs must not be left alone on the property.
-Stair gates are provided which help control where dogs can wander.
-If the property requires additional cleaning due to excessive dog hair or if dogs have been in the bedrooms, or on a sofa, we will charge a £50 fee to cover the extra cleaning costs.
-You are responsible for your dog and you will be charged for any damage caused by your dog. - Great Alder House is in a Rural Area therefore dogs must be kept on a lead at all times as livestock surround the property.
- Damage deposit (£500) – In making a booking you accept responsibility for any theft, breakage or damage caused by you, your pets or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. It will be returned within 7 days of the end of your holiday, less the cost of any damages/ breakages if this occurs.
- Damages and breakages – please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation is photographed before your stay and will be inspected at the end of the holiday.You may be charged for any loss, damage or extra cleaning costs. These are to be paid for in full within 7 days of notification.
- Minor accidents such as broken glasses etc can happen and we provide an honesty box for contribution to any such accidents.
- If serious damage occurs and the owner must cancel and/or refund subsequent bookings, the owner may bring a claim against you for any loss arising as a result.
- Please do not move any furniture from one room to another or any of the indoor furniture, furnishings or bed linen outside.
- Please remove shoes upstairs in the house- for the benefit of yourselves and future guests.
- Please lock the doors and close the windows when you leave the property unoccupied.
- Please make sure you switch off lights, heating, air conditioning or any electrical appliances when you go out – we’re an eco-friendly holiday home.
- Please don’t take any bath towels with you when you go out of the house. The towels are owned by a linen company.
- We reserve the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.
- Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.
- The client may in no circumstance re-let or sublet the property.
- Filming for commercial activity cannot take place- should you wish to use the property for the purposes of film or photography shoot we must be advised in advance.
- We are not liable to you or your holiday party for loss or damage to property, however arising.
- All inventory must remain in the property. We have the right to deduct the costs of any missing items from your damage deposit.
- You are responsible for the supervision of all members of your party under the age of 18 at all times.
- Please park your vehicles in the designated parking space, ensuring cars do not block access to other properties.
- Please respect the community and try to keep noise levels to a minimum, especially between 11 pm and 6 am.
- There are no Electric Vehicle -EV chargers at Great Alder House -do not attempt to charge electric vehicles from the supply as this is likely to cause a powercut.
- We reserve the right to terminate your rental agreement with immediate effect where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others. You’ll be asked to leave the property, without any refund of the rental amount paid.
- Please use the designated barbecue utensils and clean the barbecue after use.
- Candles of any description are not permitted at Great Alder House due to increased risk of fire this includes incense burners, wax melts and scented candles.
- Fireworks, Chinese lanterns, firepits, candles and portable bbqs are prohibited.
- Check-out –
Check out time is 11am on the day of departure.
Please ensure that all rubbish has been sorted into the right bags and leave outside the property.
Please strip beds of sheets and leave all towels in main bathroom
You can leave the dishwashers full but don’t leave any dirty dishes or pans.
It is agreed that you will leave the house as you found it.
- If you want to use the services of a third-party supplier (e.g. a chef, beauty treatments) this must be agreed beforehand. If you bring a third-party supplier without consent, we reserve the right to ask them to leave. We do not accept liability for the activities of these third-party suppliers.
- Wi-Fi – the guest agrees to reasonable and lawful usage.This is provided free of charge.
- Domestic electric vehicle chargers (commonly known as a ‘granny charger’ or a ‘trickle charger’) are not suitable for use at the property and are strictly forbidden. You are liable for any damage or loss suffered by us due to your unauthorised use of domestic chargers.
- Power cuts, Great Alder House is in a rural area due to weather or other reasons beyond our control we may experience electric outages. In this instance the utilities provider is responsible for the reinstatement of the electric and have a guaranteed limit time of 3 hours on weekdays and 4 hours on a weekend. We will keep you updated if this occurs.
- From time to time the utilities companies have planned maintenance work when we will be advised in advance of this, it can be short notice and again this is out of our control when line maintenance needs to be completed. This can be up to 8 hours.
- Any problem or complaint must be immediately reported directly to us before leaving to allow us the opportunity to resolve it.
- Non-compliance with the house rules will be considered as a breach of the terms and conditions of the rental agreement. We reserve the right to terminate the booking with immediate effect and without a refund if they do not abide by the rules.
- This property is privately owned and is our home. We expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own home.
- We will ensure that:
- 1. Personal data is only used for the legitimate interests of Great Alder House and does not unduly prejudice the rights and freedoms of the individual in question.
- 2. Personal data will be processed fairly and lawfully in accordance with the Data Protection Act.
- 3. They will not process "sensitive" personal data without prior consent from the member.
- 4. Access will be granted to computerised personal data in the form of a computerised "printout", and to manual personal data at its discretion.
- 5. Information processed is accurate, relevant, current, up to date and not excessive.
- 6. Personal data will be kept only for so long as is necessary for the specified purposes
